Job Information – Import Operations Coordinator

 

We’re looking for an experienced Import Operations Freight Coordinator to join our growing Newcastle team.

 

As a dynamic freight forwarder, we manage international import and export shipments across air, sea (LCL/FCL), road, and rail, delivering tailored solutions to meet our customers’ global logistics needs.

 

🌍 What You’ll Be Doing

 

A varied, fast-paced role covering full end-to-end import operations, including:

 

  • Managing global import shipments from start to finish
  • Preparing quotes and booking shipments worldwide
  • Monitoring market trends and pricing to ensure competitive rates
  • Using tariffs or liaising with carriers/suppliers to secure the best pricing
  • Preparing accurate documentation within required timeframes
  • Sending booking instructions to carriers
  • Handling order traces, invoices, and pre-alerts from overseas agents
  • Ensuring cargo is released only against correct documentation and cleared funds
  • Completing customs entries
  • Tracking shipments through to delivery and ensuring service excellence
  • Keeping customers, agents, and suppliers updated throughout
  • Making follow-up calls to maintain strong customer relationships
  • Building and maintaining relationships with shipping lines, hauliers, overseas agents, and internal branches
  • Growing our prospect database
  • Supporting general office duties (phones, filing, post)

 

🧩 What You’ll Bring

 

  • Essential experience in import ocean freight operations and quoting
  • Knowledge of airfreight and customs systems (CNS, Destin8, CDS, FCL) — training provided
  • Strong document preparation skills (shipping docs, invoices, customs declarations)
  • Understanding of relevant regulations and compliance requirements
  • Confident problem-solving abilities
  • High attention to detail and accuracy
  • Ability to work independently and manage your own workload
  • Excellent communication and customer service skills
  • A collaborative mindset — willing to support other teams when needed
  • Eagerness to learn, develop, and adapt to new systems
  • Strong organisational skills with the ability to prioritise under pressure
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Ability to build strong supplier relationships
  • Confident negotiation skills
  • A positive, energetic, can-do attitude
  • Flexibility to get involved in all aspects of day-to-day operations
  • Experience in other transport modes is a bonus
